Quality assurance

Whilst developing the most efficient distribution methods we also put in place our quality assurance system allowing each client visibility of his/her distribution project during its execution.


Preparations:

  1. WEBER ESCAL d.o.o. delivers a DAILY PLAN to the ordering party, at the latest 1 day prior to the distribution start date for the given area. (delivered by fax, email)
  2. 1 day prior to the start of distribution.
    The ordering party delivers a list of zones and towns where check should be carried out according to the DAILY PLAN by 12am at the latest. By 5pm WEBER ESCAL d.o.o. delivers the name and telephone contact details of the person(s) responsible alongside whom the ordering party may carry out mutual checks.
  3. On distribution day.
    Both the meeting point and start point for mutual checks is organised.  The timing of these quality assurance checks depends on the zone in question, and can take place between 12am and 6pm.

Quality assurance checks - methods:

  1. Quality assurance checks are carried out both visually and via questionnaires. Should visual checks not suffice to determine the quality of the distribution in question, then a questionnaire should also be completed.
    Visual checks show the physical presence of marketing material in letterboxes. (mainly in apartment blocks)
    Questionnaires are completed in areas where visual checks cannot show proof of distribution being performed. (mainly in areas of residential housing)
    The questionnaire is aimed at the person who emptied the letterbox on the day of distribution and the following questions will be asked:
    a) Are you the person who emptied your letterbox today?
    Should the response be negative, only the person having emptied the letterbox may complete the questionnaire.
    If the response is positive, we may ask the second question.
    b) Did you find this marketing material (whilst showing a sample of it) in your letterbox today?  
    Only definitive YES or NO answers are recorded in questionnaires. Unclear responses are not taken into account and in such cases further households will be subject to questionnaire checks.

Quality assurance checks - parameters:

  • Check “unit”
    For apartment blocks, one unit consists of one main entrance, for housing one unit consists of one street.
  • Check “log”
    A check log consists of a maximum of five check units.
  • Check “evaluation”
    Check evaluation is shown in the shape of a table:
    YES – distributed NO – not distributed
    - results are obtained from the check log (3:0, 3:1, 3:2)
